Administrative and Finance Assistant | Springfield, IL

Under the general supervision of the President & CEO, works as part time receptionist for the office; answers basic questions and refers callers to appropriate staff; opens and distributes mail and logs all checks. Assists all staff in administrative functions.


Administrative and Finance Assistant | Part-Time (9:00 a.m. to 3:00 p.m. up to 30 hours weekly)

 

Reports to: President & CEO


Distinguishing Features of Work:

Under the general supervision of the President & CEO, works as part time receptionist for the office; answers basic questions and refers callers to appropriate staff; opens and distributes mail and logs all checks.  Assists all staff in administrative functions. 


Illustrative Examples of Work:


Works as receptionist for the office, politely answering telephone calls and greeting visitors; refers visitors and callers to appropriate staff; answers basic questions about seminars, convention, and other office functions.


Opens and distributes mail.  Maintains computerized check log for all incoming checks.  Routes all office correspondence and handles outgoing mailings and shipping.


Coordinates paying invoices and managing bills.


Makes contact with Members to resolve email failures.


Types materials of a routine nature as necessary to assist professional staff.


Assists in the operation of copier and fax machines, maintains files for ordering copier supplies and monthly usage records. 


Sends and delivers materials to appropriate staff.


Prepares conference room for meetings by setting up refreshments, snacks, and/or orders lunch when necessary. 


Performs other duties as required or assigned.


Relevant Characteristics and Experience:


One year of general clerical experience.


Knowledge and skill to perform the duties described in the examples of work in this job description.


Keyboarding ability and working knowledge of MS Office including Word, Excel, and general clerical procedures.


Working knowledge of the operation of the copier and fax.


Working knowledge of basic mathematics.


Working knowledge and ability to operate multi-line telephone system.


Ability to understand and follow oral and written instructions.


Ability to maintain continuous satisfactory relationships with employees and the public and to deal with member relations issues courteously and tactfully.


Good organizational skills.


May be required to lift boxes or heavy items.
